In recent weeks we have written to the embassies and diplomatic missions in Budapest. In this article we explain in more detail the situations in which we can support missions, and what we pay particular attention to when serving diplomatic clients.
An embassy operates differently from most organisations. Staff rotate every few years, the furnishings of residences and offices often belong to the sending state, and official events are an important part of a mission's life. All of this creates storage and logistics needs that a flexible, reliable local partner can take care of.
When does an embassy need storage?
Diplomatic rotations and personal belongings
Diplomatic postings usually last a few years, and arrivals and departures rarely coincide exactly with the handover of a residence or apartment. Typical situations include:
- an incoming diplomat's belongings arrive before the official apartment is ready;
- the international freight forwarder can only collect a departing colleague's household goods weeks later;
- temporary storage is needed between leaving Budapest and starting at the next post;
- staff on shorter assignments live in furnished apartments and need somewhere to keep their own furniture.
We store belongings for exactly as long as needed, with daily, weekly or monthly billing, and we handle transport within Budapest.
Residence and chancery renovations or relocations
A renovation or move to a new building is always a complex task for a mission. Representative furniture, artwork, libraries and office equipment need a safe home while the work is under way. In our warehouse, furniture is protected with covers, every item is recorded on an inventory list, and on return we place the furniture where it belongs and reassemble anything we took apart.
Event equipment and cultural programmes
National day receptions, cultural weeks, exhibitions and trade fair appearances require a great deal of equipment: stand elements, roll-up banners, flags, decorations, exhibition pieces and promotional materials. For most of the year these simply take up space in the mission building. We can store them securely and deliver them to the venue before the event.
Publications, protocol gifts and non-confidential materials
Country-promotion publications, stocks of protocol gifts, non-classified archive material and office equipment are also common storage needs. We keep them in a clean, dry, humidity-free and rodent-free environment.
Humanitarian collections
Many missions organise donation drives during natural disasters or humanitarian crises. We are happy to help with temporary storage of donations and with preparing them for onward transport. ZedStore regularly runs its own collections for people in need, so this work is close to our hearts.
What we do not store: confidential materials
We want to be clear: classified and confidential diplomatic documents and the diplomatic bag are governed by the mission's own security rules and by international law. We do not recommend placing them in external storage. Our service is designed for non-confidential belongings, furnishings, event equipment and materials.
As a general rule, we also do not store flammable or explosive substances, chemicals, perishable food, or any items whose storage is prohibited by law.
Security and discretion
For a diplomatic mission, reliability and discretion are essential. ZedStore's warehouse:
- is located in ground-floor brick buildings with high ceilings, never in containers, basements or lightweight structures;
- is guarded 24/7;
- is protected by infrared barriers, internal and external CCTV, and a GSM-connected alarm system;
- is covered by business property and liability insurance;
- is clean, dry, humidity-free and rodent-free, with dedicated fire protection.
Access to stored items can be restricted in the contract to persons named in writing by the mission. Every intake is documented with a detailed inventory and every release with a handover protocol. We treat each engagement confidentially and mention a mission's name as a reference only with its consent.
Flexibility that fits how missions work
Embassy planning often depends on decisions in the capital, budget cycles and the rotation calendar. That is why your storage partner needs to adapt:
- space from 1 m² to any size, and you pay only for the floor area you actually use;
- daily, weekly and monthly billing, with no long-term commitment;
- space can be increased or reduced at any time;
- a dedicated contact person who knows the mission's needs and history;
- invoicing tailored to the mission's requirements, including the details needed for its special tax status;
- quotes and communication in English.
Relocation and handling from a single provider
Alongside storage, we offer full relocation services with 3.5-tonne trucks and experienced teams of one to three people. We dismantle and reassemble furniture, provide protective packing for delicate items, label boxes, and take down and reinstall pictures and lamps. Within Budapest there is no mileage or floor charge. Palletised goods are handled with a forklift.
For international moves we work alongside the mission's international freight forwarder: we receive the incoming shipment, store it, and deliver it to the residence or apartment. It works the other way too: we collect a departing colleague's belongings and hand them over to the forwarder.
How we work together
- Get in touch: let us know your needs by phone or email, and we will discuss the details.
- Warehouse visit: we would be glad to welcome you or your administrative or facilities colleague for a personal tour of our warehouse in Kőbánya (District X).
- Quote: based on volume, duration and the services required, we prepare a transparent quote.
- Intake: at the agreed time we collect and store the items, with a full inventory list.
- Storage and access: named staff can access stored items at any time after prior arrangement.
- Release and delivery: at an agreed time we deliver the items to the address you specify.
A personal invitation
If your mission is considering storage, relocation or a home for its event equipment, we would be delighted to show you our warehouse in person. During a visit we will show you how we store furniture and equipment, and together we can discuss which solution best fits your mission's needs.
